Job Description

Project Coordination & Scheduling

  • Develop, maintain, and update detailed project schedules, milestones, and timelines.
  • Track project activities against contractual and scheduled completion dates.
  • Coordinate project resources, materials, equipment, and other requirements.
  • Monitor project milestones and proactively identify potential delays or roadblocks.
  • Support Project Managers throughout planning, execution, and project closeout.

Procurement & Supplier Coordination

  • Coordinate with suppliers and vendors to support project requirements and delivery schedules.
  • Track materials and equipment required for project execution.
  • Assist with sourcing and pricing to support project budgets and profitability.
  • Coordinate supplier activities and conduct site visits or inspections when required.

Reporting, Cost & Change Management

  • Prepare and distribute project status updates covering schedule, costs, risks, issues, and milestones.
  • Support project cost tracking, forecasting, and related financial reporting.
  • Maintain accurate project documentation and records.
  • Document and track project changes, including associated cost and schedule impacts.
  • Support estimating and tender activities by gathering pricing, resource, and project information.

Risk, Quality & Safety

  • Identify and escalate project risks and assist with mitigation planning.
  • Review project documentation, test plans, and completed work against applicable specifications and quality requirements.
  • Support project inspections and quality-control processes.
  • Promote safe work practices and compliance with applicable occupational health and safety requirements.
  • Assist in maintaining a strong safety culture across project activities.

Stakeholder Coordination

  • Coordinate communication between Project Managers, internal teams, clients, consultants, subcontractors, suppliers, and other stakeholders.
  • Participate in regular project meetings and document required actions and follow-ups.
  • Maintain positive working relationships with internal and external project partners.
  • Escalate issues requiring Project Manager involvement in a timely manner.

Job Requirements

Required Qualifications

  • 2–5 years of project coordination or related project experience within industrial construction, fabrication, mechanical, or a comparable project-based environment.
  • Demonstrated ability to create, maintain, and monitor project schedules.
  • Ability to read and interpret project drawings and understand project quality requirements.
  • Experience supporting project documentation, cost tracking, change management, risk management, procurement, or related project controls.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Strong written and verbal communication skills.
  • Ability to work effectively with clients, contractors, consultants, suppliers, and internal project teams.
  • Comfortable working in both office and active project-site environments.
  • Valid, clean driver's licence and access to a reliable vehicle.
  • Ability to travel approximately 70% of the time, including travel within Canada and the United States as required.

Preferred Qualifications

  • 2–5 years of industrial construction, fabrication, or mechanical project experience.
  • PMP, Gold Seal Certification (GSC), PRINCE2, or another recognized project-management designation, or currently working toward one.
  • Degree or diploma in Engineering, Construction Management, Architecture, or a related discipline.
  • Journeyperson/Journeyman certification in Millwright or a related mechanical trade.
  • Working knowledge of Microsoft Project, Power BI, CAD, BIM, or comparable project/construction software.
  • Experience supporting estimating, tendering, procurement, or supplier management.

Compensation & Employment

  • $65,000–$85,000 annually, based on experience.
  • Performance-based bonus.
  • Company-provided phone and laptop.
  • Full-time, permanent position.
  • 40-hour work week.
  • Based in Cambridge, Ontario, with work performed between the office and project sites.
  • Approximately 70% travel.
