We are a fully insured, award-winning roofing and exterior company specializing in residential and commercial roofing, siding, and exterior services. We are seeking a skilled Administration Officer to support daily operations, streamline administrative processes, and contribute to our continued growth in a fast-paced, client-focused environment.

Responsibilities

  • Oversee daily office administrative procedures to ensure smooth and efficient operations.
  • Implement new administrative policies, procedures, and workflow improvements.
  • Review and evaluate office processes to identify opportunities for optimization.
  • Manage scheduling, correspondence, filing systems, databases, and record keeping.
  • Plan, manage, and control office budgets to ensure financial efficiency and alignment with organizational goals.
  • Establish work priorities, delegate tasks, monitor deadlines, and ensure administrative procedures are followed.
  • Train, supervise, and support office staff; resolve workplace conflicts and maintain a positive, professional work environment.
  • Assist in preparing operating budgets, monitor expenditures, and maintain inventory and budget controls.
  • Maintain and manage project-related documentation, contracts, permits, service records, and client files in compliance with company policies and applicable privacy legislation.
  • Coordinate project-related office services, including contractor scheduling, equipment and tool management, material orders, delivery logistics, job site documentation, and support for field crews.
  • Assist with HR and payroll administration for staff.
  • Compile data and prepare reports, manuals, invoices, and business correspondence.

Requirements

  • Bachelor’s degree in Business Administration, Office Management, or a related field.
  • Minimum of three years of experience in office administration or management; experience in construction, roofing, or a related industry is an asset.
  • Strong leadership and team management abilities with the capacity to motivate staff and support operational goals.
  • Excellent organizational, interpersonal, communication, and multitasking skills.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Experience managing social media.
  • Strong attention to detail and problem-solving skills.
  • Knowledge of payroll, HR, and basic accounting functions.
